How to Rework Your Schedule to Make Room for Your Dream Life

Every time you sit down to plan, something pulls your attention away—whether it’s an urgent work email or a kid needing help with homework. By learning how to organize your workspace and schedule for success, you can start making meaningful progress.

It happens to all of us, especially when you’re juggling a million responsibilities.

But in this post, I’m breaking down simple, actionable steps you can take to rework your schedule so you can finally carve out the time and energy to focus on what truly matters: creating a serene workspace and streamlining your workflow.

I’ll also share time-saving tools that will make decluttering and organizing a breeze. Trust me, transforming your chaotic office into a haven of productivity is completely doable—even if you can only find 15 minutes a day to start.

First, Remember Your Why

Before I show you the practical steps, let’s take a moment to reflect on what motivates you. Understanding why you want to declutter your home and organize your life can fuel your commitment and clarity.

Whether it’s to feel more focused and creative or to finally have time for the things you love, reconnecting with your core reasons will keep you on track.

Ask yourself: What will achieving this milestone help me accomplish? Why is this crucial for my personal or professional growth?

When I decided to reorganize my home, I kept reminding myself that this change wasn’t just about having a tidy desk—it was about creating a space that inspires my best ideas and allows me to be fully present with my family after work.

Once you’re clear on your deepest motivations, you can always come back to them when you’re feeling overwhelmed.

Adjust Your Mindset

Your mindset can be your greatest ally or your biggest obstacle.

Embrace a mindset that prioritizes adaptability and resilience. These qualities not only help you deal with unforeseen hurdles but also empower you to bounce back stronger from setbacks.

When I faced challenges while decluttering, I realized that adjusting my attitude about “needing a full day to make progress” was essential. Instead, I began viewing small steps—like decluttering one drawer—as significant progress. This shift in perspective allowed me to celebrate every win and keep moving forward.

If you adopt a “can-do” spirit, you’ll transform limiting beliefs into unshakable confidence.

Step #1: Get Clear on Your Schedule

You can only fix what you can clearly identify. This means you need a 360-degree understanding of where your time goes.

Write down everything in your current schedule—even the smallest details. This will help you see where you’re wasting your time, like time lost to distractions or unnecessary tasks.

For example, I realized I was spending an hour each day scrolling through social media. Diving into deep work—like organizing my office—felt hard because it was all new, and I wasn’t sure where to start. So I kept defaulting to my usual tasks like tweaking client emails.

The problem? Those tasks weren’t moving me closer to my goal.

How I solved it: I set a time limit of 30 minutes for social media each day and used the saved time to work on decluttering my workspace.

Action Steps:

  1. Use a tracking tool like Toggl to log your daily activities for a week.
  2. Identify two-time slots each week you can dedicate to decluttering.
  3. List “less important” tasks you can outsource or skip to create more room for your goal.

Step #2: Identify Limiting Beliefs That Derail Your Progress

Sometimes the biggest roadblocks to achieving our goals come from within.

That little voice in your head might say something like, “I’ll never be able to stay consistent with organizing my life,” or, “I just don’t have what it takes to balance my business and family without feeling overwhelmed.”

These limiting beliefs often stem from external influences we’ve internalized. Maybe someone once told you, “You’re too busy to have a perfectly organized home and office,” or perhaps you’ve seen others struggle and assumed you would too.

These beliefs can easily make you second-guess your ability to work toward your goal of creating a serene, productive workspace.

One limiting belief that initially stopped me was thinking, “I’m not naturally organized, so why even try?”

What helped me gain confidence was setting small, bite-sized goals instead of focusing on the overwhelming big picture. Just accomplishing one simple task—like sorting out a single drawer—gave me the momentum to continue.

It’s also so helpful to surround yourself with positive influences. Join a community like a Facebook group or a local mastermind with others who are also pursuing better organization and balance. These connections can offer support, tips, and constructive feedback to keep you motivated and accountable.

Plus, developing a network of fellow women balancing businesses and busy lives will remind you that you’re not alone. Their encouragement and shared experiences will empower you to keep going.

Always remember: You have what it takes to achieve balance and serenity in your home and work life.

Another great way to combat limiting beliefs is to turn them into positive affirmations. Some of my favorites are:

  • “I am creating a space that supports my success.”
  • “Small steps lead to big results.”
  • “I am capable of achieving balance and harmony in my life.”

Action Steps:

  1. Write down your top three limiting beliefs. Be completely honest with yourself—dig deep to uncover what’s holding you back.
  2. Write three affirmations to combat those limiting beliefs and say them to yourself daily.
  3. Plan to check in with your thoughts throughout the day. Awareness is the first step toward replacing negative patterns with empowering ones.

Step #3: Identify Your Must-Haves and Non-Negotiables

To rework your daily schedule, you need to get crystal clear on what you can’t do without.

You know what I always say: “Write it down.” Clarity is everything. When you know exactly which parts of your routine are non-negotiable and which ones are flexible, you create a sustainable plan that works for you—not against you.

For example, if family time from 6 PM to 8 PM is sacred, your work on tasks like organizing your digital files or decluttering your office will need to fit around this.

One way to get started is to create a two-column list labeled ‘Must-Haves’ vs. ‘Can Adjust’. This visual approach will help you clarify where you can make adjustments without sacrificing what truly matters.

For me, family dinners were non-negotiable. That meant I had to structure my work on decluttering and designing my home office workflow earlier in the day or during my kids’ nap times. Knowing my priorities made it so much easier to stick to my plan.

Action Steps:

  1. List Your Activities: Go through your daily or weekly activities and label them as either ‘Essential’ or ‘Flexible.’ Be honest with yourself—write everything down.
  2. Protect Your Essentials: Commit to protecting your essential activities. These are the anchors for your well-being, productivity, and mental focus. For instance, family time or client meetings should always stay in your “Must-Haves” column.
  3. Adjust the Flexible: Identify and adjust the flexible parts of your schedule to make room for higher-priority goals. For example, if a morning social media scroll isn’t essential, move it to the “Can Adjust” column and limit it to a specific time slot.

Step #4: Integrate New Habits Slowly

The key to making lasting progress is to start small. Begin with manageable changes that integrate your work on decluttering and creating an organized workspace into your existing routine. Treat these tasks with the same importance as non-negotiable activities like morning exercise or evening meditation.

For example, start by dedicating just 15 minutes each morning to decluttering one specific area of your office before the day gets busy.

When I began my decluttering journey, I set aside 20 minutes three times a week to tackle one drawer or shelf at a time. Once I became more comfortable and efficient, I increased the time gradually. It didn’t feel overwhelming, and seeing consistent progress kept me motivated.

Action Steps:

  1. Choose a Small Task: Identify one small, specific task such as clearing your desk or sorting one drawer that contributes to a tiny milestone like organizing a specific area of your home.
  2. Schedule This Task: Integrate this task into your daily morning routine for the next week. Choose a time slot that’s quiet and interruption-free, like before the kids wake up or after your first cup of coffee.
  3. Track Your Progress: Use a habit tracker or checklist to monitor your consistency and celebrate small wins.

Step #5: Plan for Things to Go Wrong

I wish I could tell you that once you rework your schedule, you’ll never stray from your new routine, but let’s be real—things won’t always go as planned. If you expect everything to run perfectly, you’re setting yourself up for frustration. Challenges and disruptions are part of the journey.

Having strategies in place for when things go belly-up will keep you moving forward and remind you that these hiccups are just that: minor interruptions, not the end of your progress.

For example:

if you’re dedicating 15 minutes each morning to decluttering your workspace, but then a client emergency pops up and you miss a session, it’s just a hiccup. It doesn’t mean your progress is derailed. In other words, staying consistent with decluttering is your norm, and missing a session is only a temporary interruption.

Life is full of unexpected events that can throw off even the best-laid plans. Whether it’s urgent client requests or a sick child needing extra attention, being flexible will help you stay on track without losing sight of your longer-term vision.

When I was trying to set up my serene workspace, it was really hard to find quiet time to focus. My solution? Waking up an hour earlier while the house was still quiet. This small adjustment made a huge difference in keeping me consistent, even when the day didn’t go as planned.

The key is to set clear priorities: Determine which tasks are critical and which can be delayed. This helps you rearrange your schedule efficiently when disruptions occur.

Action Steps:

  1. Get an Accountability Partner: Find someone who can encourage you and hold you accountable for sticking to your plan. This could be a friend, a colleague, or even a coach.
  2. Leverage Technology: Use scheduling tools like Google Calendar or project management apps like Asana to plan ahead and set reminders for critical tasks.
  3. Block Off Time in Your Calendar: Treat your decluttering sessions like important meetings. Block off time on your calendar and don’t let anything short of an emergency take precedence.

As I worked on decluttering my home office, I often turned to my supportive spouse for accountability and an online community of women entrepreneurs for tips and encouragement. These resources were crucial during times when I felt overwhelmed or off-track.

By planning for interruptions, you’ll build resilience and confidence that keep you moving forward—no matter what life throws your way.
